I would call the hotels sales dept and get a room block. Usually, you would need to sign a contract for (XX) amount of rooms and are given a date to reserve all rooms and if they are not filled by the date given you may have to pay a fee or nothing at all.... depending on the hotel. You can include hotels where you have a "special rate" in your invitations and then guests can make their own reservations. I would also suggest putting a line on the RSVP card so you know who is staying at what hotel for (gift, welcome baskets, directions, shuttle trasportation if you are providing that.)

SAMPLE:
Please reply by the twenty-fifth of April
M _______________________________________
number of guests
_____ will attend reception dinner
_____ will attend wedding reception
_____ shuttle transportation, hotel _________________
_____ declines with regret __________________________

We did a room block last May '09 at the Marriott, Napa, Embassy Suites, Napa (can fit up to 6 people in each suite comfortably), El Bonita, St. Helena (our guests that stayed loved the charm of this very small hotel but it was further away). If you have any other questions and need advice on venues and/or caterers, please do not hesitate to reach out.

Best of luck to you and Congratulations on your upcoming nuptials!

We stayed at the Napa River Inn and booked well in advance. We can highly recommend this place. Most of the wedding party stayed here and it made for a great central meeting spot. We all enjoyed our breakfasts that came delivered to our rooms. Very nice touch.

There is also the less expensive Travelodge blocks away, however, you do get what you pay for. We actually stayed a night here during our planning and were highly disappointed. The exterior appears rather nice, but, is deceiving, as the interiors leave a lot to be desired. Walls are paper thin, our bathroom light was not working and the sink handle fell off in our hands. Complaints to management were unanswered.

As far as getting room blocks, I agree with the previous post. Most places do charge if you make changes, so, do shop around. Also, try to get wedding party to book their individual rooms well in advance. We researched and posted all options on a wedding website and that worked well. Once you've given them the options, let them figure out their accommodations and don't stress (they will get there!).

We rented a house in Napa (Monkswell Manor)that served as both our accomodations for 12 people. We also had a welcome dinner there the night before out reception for all our out of town guests. It was perfect, my entire wedding party also got ready at this house and we had a pool party for some of the families that traveled a long distance with their children. The home was spacious and comfortable with a swimming pool, tennis courts, beautiful front and backyard and a private gate. We loved renting this house and our family wants to make it an annual trip. All our other guests and family stayed at the above hotels.

If you would like to rent the house, Monkswell Manor call Rick Warren he is the owner and a super-friendly guy. He is flexible!

We also know a great/affordable caterer in the Napa area, Matt Mermond of Bleaux Magnolia in Napa. He catered our welcome dinner at Monkswell Manor and the food is fantastic!!!

Our photograher was excellent, we hired the husband and wife duo for our entire wedding weekend. There were reasonably priced and amazing artist! Luke and Amber Grover at www.groverstyle.com

Best of luck with all the planning and congratulations again! Enjoy this moment!

Please feel free to email or call if you have any other questions. I used to be an event planner! :)

Check out the John Muir Inn- they are reasonable. We are getting married over Labor Day so I've found that the hotels will only block if guests stay the entire 3 nights of the weekend. John Mui Inn requires Fri & Sat but you can do just Sunday if you are getting married on Sunday.
Also, check out VRBO.com...you might find something there. Again, most people are requiring reservations for the entire weekend.
